Brief description

We currently have an exciting opportunity for a full time Receptionist to join our team. Our front of house Team are expected to represent Paragon to deliver a professional, warm, confident and efficient service to all employees and visitors. The role demands flexibility, excellent organisational and multi-tasking skills working in a fast-paced environment.

Purpose of the role

The role of the Reception Services Officer is to provide an effective and efficient front of house service and provide support to all visitors. Responsible for managing switchboard calls for the Group and liaising with staff of all levels. Enforcing all Reception team procedures and displaying professionalism and courtesy at all times when dealing with internal or external customers and Contractors.

Duties and responsibilities

  • Answer all calls within 3 rings and transfer to correct business or department
  • Meet and greet colleagues and customers with courtesy and professionalism at all times
  • Dial overseas numbers as requested by business and record numbers obtained
  • Ensure reception areas are kept clean and tidy at all times
  • Enforce physical security procedures and ensure only authorised personnel are granted access to our premises
  • Enforce all Reception Policies and Procedures and regularly review to ensure policies and procedures are correct
  • Book Taxis as necessary and record details
  • Issue empty parking spaces as required when advised of empty spaces
  • Manage visitor/contractor parking spaces
  • Assist security as necessary i.e. during weekly fire tests, meeting room setup
  • Hand over and liaison with security guards each morning
  • Management of Pool cars including maintaining list of authorized staff
  • Take new starters’ photographs as required


  • Knowledge and Understanding of the Reception Services within the Group
  • To be conversant and have a good understanding of the Concierge System
  • Well skilled and committed in providing excellent customer care
  • Ability to communicate in verbal and written forms at all levels
  • Excellent organisational skills
  • Ability to prioritise multiple tasks and work to tight deadlines
  • A good level of self-motivation and provide a good level of support to colleagues

Qualifications and experience

Grade C or above GCSE (or equivalent) in English and Mathematics Previous experience of reception work is preferred but not essential

Working hours

37.5 hours per week, Monday to Friday, 8.30am to 5.00pm (one hour for lunch).
